A photo in WhatsApp, hours on paper and materials in a separate email leave the office to reconstruct the job. Digital job sheets can simplify that handover, provided you design the follow-up process as well as the form.
Establish what the office needs
Start with the person who checks and invoices the work. Which information is frequently missing? Consider the assignment reference, work completed, materials, hours, photos and customer comments. Ask for each item only once and retrieve existing customer and address details from scheduling.
Keep mandatory fields to genuine requirements. Too many compulsory questions can encourage temporary answers that nobody corrects later.
Design for real field conditions
Test with gloves, bright light and an unreliable connection. Use large controls and clear status messages. An engineer must see whether a photo was added and whether the office actually received the job sheet.

Make the handover visible
A useful sequence might contain these states:

Not every completed sheet should immediately generate an invoice. A different rate, additional work or a dispute may need human review. Keep these exceptions visible rather than silently pushing them through.
Define what a signature confirms
A signature can acknowledge receipt, confirm work or indicate another agreement. Use explicit wording and have its meaning reviewed in your contractual context. Adding a signature field does not resolve every legal question.
Run a focused pilot
Choose one crew and one type of assignment. Measure the proportion of complete sheets, corrections needed and the time until the office can process them. Compare similar assignments before and after the change.
