An API provides agreed access to an application's functions or data. An API integration uses that access to make systems work together. For example, an approved CRM quote can become an ERP order without someone entering the same customer and order details again.
What happens between the systems?
The integration reads the agreed source, checks the information and translates it into the receiving system's format. A CRM customer number is not necessarily the ERP customer number. Statuses, product codes and addresses may also be organised differently. This translation is often called mapping.
Not every exchange needs to happen instantly. Fast transfer may matter for orders, while a daily overview can be updated on a schedule. Define freshness from the operational need, rather than choosing real time simply because it sounds modern.
An API is not a ready-made solution
Two products can both have APIs without being immediately compatible. Check whether the necessary fields are available, whether writing is permitted and what limits apply. Permissions, subscriptions and supplier changes matter too.
Illustrative scenario: a wholesaler connects online orders to its ERP. An order containing an unknown product code is held for review. Without that check, a technically successful exchange could send the wrong order into the business.
What should be agreed first?
- Which system owns customers, prices, stock and statuses?
- What event starts the exchange?
- How is the same order recognised on a repeated attempt?
- Who handles missing or invalid information?
- Who monitors operation after a software update?
How do you verify the result?
Test an ordinary order, change, cancellation and repeated event. Compare the data on both sides. Ensure an operator can locate and recover a failure without requiring unrestricted access to all business information.
