A sent quote is not necessarily a followed-up quote. When the next action lives in someone's memory or inbox, opportunities are easily forgotten. Useful automation helps the team make relevant contact at the right moment. It is not a reason to send every customer the same reminder sequence.
Start with trustworthy quote status
Distinguish draft, sent, under discussion, won and lost. Record the owner and the next action date. A quote already accepted by telephone should not trigger an automated question asking whether the customer is still interested.
Replies, appointments and changes must therefore stop or adjust the workflow. The trigger is not only the sending date but the current situation. Preserve history: a revised quotation should not erase the earlier discussion.
Make reminders useful

- A revised quote or new contact person exists.

- The responsible employee is away.
- The customer wants no further follow-up.
Measure results honestly
Track how long quotes remain without a next action and whether follow-up tasks are completed on time. Calculate close rate only with a clear definition of won and lost quotations across comparable groups and periods. Faster follow-up does not guarantee a particular revenue increase; quality, price and fit still matter.
